Privacy Policy
This policy explains what Bay Area Shine collects when you use our website, the Bay Area Shine app (for customers) and the Bay Area Shine Crew app (for cleaners), why we collect it, who sees it, and how long we keep it. "Bay Area Shine", "we" and "us" mean Calvin Hersey, doing business as Bay Area Shine Cleaners.
The short version
- We collect only what we need to book, do and pay for your cleans.
- We don't sell or share your information for advertising, and we don't use ad trackers.
- Your door code is locked. Only your cleaner (and any helper on your clean) can see it, and only during your clean.
- Cleaners can choose to share their live approach after tapping On my way, also while they use their maps app. Sharing stops at arrival or check-in, when they stop it, or after 90 minutes. Visit and safety taps can also record a location reading.
- Calls between you and your cleaner go through a Bay Area Shine number, so neither of you sees the other's real number. We never record calls.
- Photos from inside your home are private and deleted after 12 months.
- You can download or delete your data at any time.
Questions: hello@
1. What we collect
If you book cleans (customers)
- Your account details: name, email, mobile number, and the email and notification choices you make. You may add a profile photo; it is optional and you can remove it. Your chosen cleaner can see it on your jobs and chats.
- Your home: the address, home size, rooms, pets, products to use or avoid, rooms you'd rather not have photographed, parking and how to get in.
- Your door or gate code: kept in a separate, encrypted field (section 4).
- Your cleans: what you booked, when, the price, extras, tips, plans, reschedules, cancellations, flags and re-cleans.
- Payments: your card is entered into Stripe's own payment form. We never see or store your card number. Stripe tells us the card type, its last 4 digits and whether a payment went through. Your card is saved by Stripe so the balance can be charged after each clean. To prevent fraud, Stripe's payment screens in our app also collect information about your device and how you use those screens, which Stripe uses for fraud prevention and to improve its service. We don't use it for ads, and it isn't used to track you across other apps or websites. See Stripe's privacy policy at stripe.com/privacy.
- Photos:
- The before-and-after photos your cleaner takes for your Shine Report.
- Photos you add when you flag a spot or message us.
- Messages: your chats with your cleaner and with us, inside the app. Texts and emails you send us.
- Ratings and reviews you write:
- Your rating of a clean and the private tags you choose (only we see these).
- Any public review, shown on the cleaner's profile with your first name and last initial.
- A rating of you by your cleaner: after a clean, the cleaner may rate the visit privately, 1 to 5, with job-related tags such as "Ready as booked". Other cleaners see the average after 3 ratings. You can see your own. It never changes your price or stops you booking.
- Reports and blocks: if you report or block someone, or someone reports you (section 6).
If you clean with us (cleaners)
- Your account and profile:
- Name, email, mobile number.
- Your photo, short bio, languages, specialties and the general areas you work in.
- Customers see your first name, last initial, photo, bio, rating and reviews. They never see your last name, mobile number or where you live.
- Your home area: a general area for drive times and the jobs map. Never shown to anyone as a point.
- Location and optional trip sharing: Check in, Check out, Can't get in and Need help may record a single location reading as proof of the visit or for your safety. After On my way, you can choose Share this trip or continue without live location. If you share, the customer sees your latest position and arrival estimate while you approach. The latest point replaces the previous one and expires after 45 seconds; it is not a saved route history. It keeps sharing while the app is in the background (for example while you use your maps app), and your phone shows that it’s on (a blue indicator on iPhone, a notification on Android). Sharing stops at arrival, check-in, no entry, sign-out, Stop sharing, a cancelled job, or after 90 minutes, and pauses if you lose signal. Permission denial never blocks work. We never collect location outside a job, and in the background only during a trip you chose to share.
- Your work: jobs you applied for and did, checklists, photos, times on site, earnings, tips, levels, ratings and reviews.
- Your pay: Bay Area Shine pays you directly for each job. We keep the pay records that tax law requires.
On our website
- What you type into our forms (name, email, the home and the clean you ask about, your message), sent to our business email.
- Like any website, our host sees basic technical data such as your device's internet address. We don't use advertising or analytics trackers.
- Our pages load their fonts from Google Fonts, so Google also sees your device's internet address when a page loads.
- If you book, you do it in the Bay Area Shine app (on the web or on your phone), which is covered by the app section below.
Phone calls (both apps)
- Your phone for calls (optional): to use the Call buttons, you add a phone number in the app (Account › Phone for calls; crew: Me › Phone for calls). We check it's yours by calling it once: you press 1 to confirm. The apps only ever show its last 4 digits, and only the owners can see the full number. You can remove it at any time with Remove my number; calls are then off until you add one again, and messages still work.
- How calls work: when you tap Call, we ring your phone from our business number and then connect you. The other person sees only the Bay Area Shine line, never your number, and you never see theirs. A customer and their cleaner can call each other only around a clean (from the day before until 24 hours after it ends). Anyone can call the office.
- No recordings: we never record calls, and there is no voicemail or transcript.
- Call records: we keep a short record of each call: who called whom, about which clean, when, how long it lasted and whether it connected. It holds no phone numbers and no audio. We keep it for 90 days. You see your own calls in the job chat, and they're in your data download.
Error reports (both apps)
- If an app hits an error, it sends us a short technical report: the app and version, the screen, what went wrong and when. It never includes your name, email, mobile number, address, account ID, photos or anything you typed. We keep these for 30 days to fix problems.
What we don't collect
- Birthdays, government ID numbers and card numbers.
- Contacts, background location (except a trip a cleaner chooses to share, from On my way until arrival), or any other app data on your device.
2. Why we use it
- To book, do and pay for your cleans: matching you with a cleaner, the Shine Report, receipts, refunds and payouts.
- To keep everyone safe: proof of visits, Need help alerts, reports and blocks, and protecting door codes.
- To talk to you: booking messages, reminders and answers to your questions.
- To improve the service for you and for cleaners, such as finding missed spots and fixing problems.
- To meet the law: tax records, payment records and auto-renewal notices.
We never sell your information, never share it for advertising, and never use your photos in ads without your written yes (and even then, cropped so nothing identifies you or your home).
3. Who sees what
- Your cleaner, and any helper on your clean (only the people assigned to it; you see each one's profile before the day):
- Your first name and your home's details, from the day before until 24 hours after the clean.
- The door code and entry notes only from 1 hour before your start time until they check out (each person only in their own window).
- They never see your mobile number. Calls and messages go through the app, which hides both numbers.
- Other cleaners: before a cleaner is chosen, they see only your first name, a rough neighbourhood (never the address), the home size and your rating, if you have one.
- The owners of Bay Area Shine can see bookings, messages and reports to run the service and keep it safe. Opening a door code is logged every time.
- Service providers who handle data for us, under contract and only for that job:
- Stripe: card payments.
- Supabase: our database, sign-in, private photo storage and server code, in the United States.
- Twilio: connects our masked phone calls, so neither side sees the other's number. Twilio keeps its own log of the calls it connects, under its own privacy policy (twilio.com/legal/privacy).
- Resend: email (sign-in codes, invites and receipts).
- Apple and Google: app downloads and push notifications.
- Google Fonts: the lettering on our website pages.
- OpenFreeMap: map pictures in the crew app. Like any website, it sees the device's internet address and the map area being viewed, never anyone's location.
- GitHub: hosts our website.
- FormSubmit: delivers our website forms to our email.
- The law: if a valid legal process requires it, or to protect someone's safety.
- If the business changes hands, this policy goes with your information.
Your mobile number: we never share it with anyone for their marketing.
4. How we protect it
- Door codes:
- Encrypted, with the key kept on our server.
- Shown only after a server check ("is this the assigned cleaner, during this clean?"), and every view is logged.
- Never put in calendars, emails, texts, notifications, photos or logs. Even in the app, you see "Set · changed [date]", not the digits.
- Photos:
- Private by default, with location data stripped out.
- Rooms only: cleaners don't photograph people, mail, documents, screens or family photos.
- Rooms you mark "no photos" are never photographed.
- Access rules: every piece of data has rules about who may see it, and we test them, so a cleaner can't see another cleaner's jobs.
- Accounts: owners use two-step sign-in.
- Card numbers never touch our servers.
No system is perfect. If a breach ever affects your information, we'll tell you as the law requires.
5. How long we keep it
| What | How long |
|---|---|
| Photos from cleans | 12 months, then deleted (longer only while a flag, claim or safety report about that clean is open) |
| Messages | 2 years |
| Error reports (no names or account details) | 30 days |
| Live approach location | Latest point only, expires after 45 seconds; sharing ends at arrival, check-in, when stopped or after 90 minutes; no saved route |
| Call records (who called whom, when, how long; no numbers, no audio) | 90 days, then deleted. Calls are never recorded. |
| Your phone for calls | Until you remove it or delete your account |
| Check-in and check-out locations | 90 days, then only the times are kept |
| Reports | 2 years after they're closed (longer only if needed for a legal claim) |
| Blocks | While both accounts exist; 90 days after being lifted |
| Receipts, payments, payouts and tax records | As long as tax and payment laws require |
| Your account and home profile | While you use Bay Area Shine, or until you delete it |
6. Reports and blocks
- If you report someone, they aren't told who reported them.
- If you block someone, they aren't told.
- We keep a short record of each report and block (who, what kind, the reason, when, and what we did). A reported message is kept as a copy of that message only.
- Only the owners can see these records, and every view is logged.
- Your data download includes the reports you sent and the blocks you made. It leaves out reports about you and who blocked you, to protect the people who reported.
7. Your choices and rights
- See and download your data: app › Account › Privacy › Download my data (crew: Me › Privacy & safety), or email us.
- Correct it: in the app, or email us.
- Delete your account: in the app, or on our delete your account page. Section 5 and that page say what's deleted and what the law makes us keep.
- Notifications and email: turn them off in the app (Account › Notifications) or with the link in any email. We'll still send what's needed for a booking, such as receipts and changes to your clean.
- Phone for calls: remove it at any time in the app (Remove my number).
- Location (cleaners): you can say no. Every job still works, and your check-in is then recorded without a location.
- California residents: you have the right to know what we collect and why, to see it, correct it, delete it and download it, to limit the use of sensitive information (we only use it to provide the service), and to opt out of the sale or sharing of your information (we don't sell or share it). We won't treat you differently for using these rights. We answer within 45 days. We give these rights to everyone, wherever they live.
- Do Not Track: we don't track you across other sites, so there's nothing to turn off.
8. Children
Bay Area Shine is for adults. You must be 18 or older to make an account or book. We don't knowingly collect information from children. If you think we have, email us and we'll delete it.
9. Changes
If we change this policy in a way that matters, we'll tell you in the app or by email before it takes effect, and update the date at the top.
